How to Switch Payroll Providers
Changing payroll providers can feel daunting. You have year to date figures to transfer, employee records to move, and the worry that something might go wrong during the transition. The good news is that with proper planning, switching is straightforward and the benefits of working with a better provider make it worthwhile.
Purely Payroll regularly takes on clients moving from other bureaux, in house processing, or accountants who have decided payroll is not their core strength. We handle the transition carefully to ensure continuity for you and your employees.
When to Consider Switching
Several situations prompt businesses to look for a new payroll provider. Perhaps your current service has become unreliable, with errors creeping in or deadlines being missed. Maybe the cost has increased beyond what seems reasonable. Some businesses simply want a more personal service than large providers offer.
Whatever your reason for considering a change, the process does not have to be complicated if you choose your new provider carefully.
What Information We Need
To take over your payroll, we need certain information from your current provider. Employee details including names, addresses, National Insurance numbers, tax codes and payment information form the foundation. Year to date figures for earnings, tax and National Insurance are essential for accurate ongoing calculations.
If you use a pension scheme for auto enrolment, we need details of the scheme and any employees currently enrolled. We can work with most major pension providers and handle the administration seamlessly.
The Transition Process
We recommend switching at a natural break point where possible. The start of a new tax year is ideal because year to date figures reset to zero. However, mid year transfers work perfectly well and we handle them regularly.
Once we have your data, we set up your payroll on our system and run parallel checks to ensure everything matches. Before your first live payroll with us, you review and approve the setup. Only then do we process your actual payroll.
What Your Employees Experience
For your employees, switching provider should be invisible. Their pay arrives as normal, their payslips contain the same information, and their tax position is unaffected. The only thing that might change is payslips looking slightly different.
We can help you communicate the change to employees if needed, though for most switches this is unnecessary.
