School payroll services need a clear timetable, accurate employee data and an agreed approach to pensions, reporting and authorisation. Purely Payroll provides outsourced payroll processing for schools, academies and trusts where the required service and scheme-specific responsibilities have been reviewed before onboarding.
We start by understanding who employs the staff, how often they are paid, which payroll records are available and which pension or reporting duties need to be included. We only accept the work once the scope and operating process are clear.
What our school payroll service can cover
Depending on the agreed package, the routine payroll service can include:
- gross-to-net payroll calculations using approved employee data;
- PAYE and National Insurance calculations;
- Real Time Information submissions to HMRC;
- employee payslips;
- starter and leaver processing;
- P45 and P60 production where required;
- statutory payments and agreed deductions;
- workplace pension and automatic-enrolment payroll support; and
- agreed payroll summaries or reports.
School payroll requirements vary. Teachers’ Pension Scheme, Local Government Pension Scheme and other scheme-specific administration or submissions are included only if Purely Payroll confirms them in writing during scoping. This page does not promise those specialist functions by default.
A controlled payroll timetable for your school
The first stage is to document the payroll calendar. This should include the deadline for approved employee changes, the date draft outputs are reviewed, the final approval point and the pay date.
Your authorised contact supplies complete information for new starters, leavers, contract or pay changes, absences, statutory payments and deductions by the agreed cut-off. Purely Payroll then processes the services in scope and returns the agreed outputs.
The employer remains responsible for employment decisions, source data and approvals. If your school relies on HR, finance, pension or payment-system integrations, those requirements must be assessed separately before the service is accepted.
How school payroll onboarding works
1. Employer and scheme review
We confirm the employing entity, PAYE scheme, employee numbers, pay frequency and current payroll ownership.
2. Requirements and responsibility map
We list the routine payroll tasks, pension responsibilities, reports, authorisations and any system-dependent requirements.
3. Payroll calendar
We agree cut-off dates, review points, final approval and required output dates.
4. Records and first-run preparation
You provide the agreed payroll records and authorisations. We resolve setup questions and confirm the first routine payroll run before processing starts.
If your school is changing provider, our switching payroll providers page explains the records normally needed. Our outsourced payroll services page sets out the broader payroll service.
Why use Purely Payroll?
Purely Payroll is a payroll bureau led by Sarah Meek MCIPPdip, AICB PM.dip. We use a defined onboarding and payroll process so that required data, cut-offs, approvals and responsibilities are clear.
Because school requirements can differ, we will review the proposed work before confirming that every required function is available. The quote will reflect employee numbers, payroll frequency and the services accepted into scope.
Frequently asked questions
Can Purely Payroll provide payroll services to a school or academy?
Yes. School payroll is available where the employing entity, payroll scope, timetable and scheme-specific responsibilities are agreed before onboarding.
Do you handle Teachers’ Pensions or Local Government Pension Scheme submissions?
These are not promised by default. Tell us exactly which scheme administration and submissions you require so that Purely Payroll can confirm what is available in writing.
Can you process starters, leavers and pay changes?
Yes, where complete, authorised information is supplied by the agreed payroll cut-off.
Can you connect to our HR, finance or payment system?
No integration is promised on this page. We review system and data-exchange requirements during scoping and confirm what is practical.
What information do you need for a quote?
We need the employing entity, employee numbers, pay frequency, pension arrangements, required reports, current systems and intended service start date.
Discuss your school payroll requirements
For school payroll services, send us a summary of your employee numbers, pay cycle, pension schemes, required reports and current process. We will assess the scope and confirm whether Purely Payroll can provide every required part of the service.
